The Role

This is a 12 month fixed term contract with the opportunity to become permanent. The Maintenance Coordinator plays a key role in ensuring the efficient operation of the maintenance team. This includes job scheduling, engineer coordination, tenant liaison, and follow-up on contractor works. The position requires strong communication skills, attention to detail, and the ability to handle urgent issues promptly.

Job requirements

Main Duties & responsibilities

  • Log and assign all maintenance jobs accurately in Salesforce.

  • Review condition reports and job history to ensure jobs are raised appropriately.

  • Plan, schedule, and manage engineers' workloads for maximum productivity.

  • Assess follow-up work requirements and schedule accordingly.

  • Oversee new job tickets and reassign where necessary to ensure completion.

  • Handle and escalate complex or critical jobs to the Maintenance Manage

  • Conduct twice-daily check-ins with engineers to monitor job progress.

  • Provide real-time phone support to engineers and respond to updates.

  • Chase contractors to ensure job completion and avoid delays.

  • Order materials for engineers when required.

  • Review and track the progress of out-of-hours (OOH) jobs.

  • Monitor active job queues and escalate any overdue or high-priority tasks.

  • Maintain communication with local authorities for permissions or compliance.

 

Skills & Knowledge

  • Excellent interpersonal skills, with the ability to communicate effectively and maintain appropriate professional boundaries

  • Ability to prioritise workload and work effectively in a high-pressured environment

  • Excellent attention to detail

  • A proficiency in the use of MS Office including Outlook, Word

  • Strong administrative skills

  • Excellent proven customer service skills

  • Previous experience in a similar position

  • Strong team ethic, with the proven ability to work effectively and collaboratively within a team or independently with individuals at all levels

  • Working flexibly in responding to the varying demands of the role in order to achieve agreed outcomes
